Please read these terms carefully before downloading or using VehIQ. They govern your use of the app and our services.

Important: By downloading, installing, or using VehIQ, you agree to be bound by these Terms & Conditions and our Privacy Policy. If you do not agree, do not use the app.

1. Acceptance of Terms

These Terms & Conditions ("Terms") constitute a legally binding agreement between you ("User", "you", "your") and Yuki Digital ("Company", "we", "us", "our") governing your use of the VehIQ mobile application and any related services (collectively, the "Service").

By accessing or using the Service, you confirm that you are at least 13 years of age (or 16 years of age in the EEA/UK), that you have the legal capacity to enter into this agreement, and that you accept and will comply with these Terms. If you are using the Service on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.

2. Service Description

VehIQ is a vehicle management application that allows users to track fuel consumption, service records, maintenance schedules, expenses, and vehicle documents for personal vehicles.

The Service includes the following core functionality:

  • Vehicle profile creation and management (cars, motorcycles, trucks, buses, and other vehicle types)
  • Fuel and EV charging log tracking with efficiency calculations
  • Service record logging and maintenance health tracking
  • General expense tracking with category management
  • Expense splitting across multiple people or vehicles
  • Trip logging with distance, duration, and cost tracking
  • Trip cost estimation based on fuel consumption and distance
  • Voice AI input for hands-free data entry
  • Document storage for insurance, registration, licences, and other vehicle paperwork
  • AI-powered receipt and invoice scanning (usage-limited)
  • Parts guide and vehicle health indicators
  • Reports and analytics (Premium)
  • Data export in CSV and PDF formats (Premium)

We reserve the right to modify, add, or remove features of the Service at any time. We will make reasonable efforts to notify users of significant changes.

3. User Accounts

Account Creation

To use VehIQ you must create an account using a valid email address. You must provide accurate, current, and complete information during registration and keep it up to date.

Account Security

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at vehiq@yukidigital.in if you suspect unauthorised access to your account. We are not liable for any loss resulting from unauthorised use of your account where you have not notified us.

One Account Per User

Each account is for personal, non-commercial use by a single individual. You may not share your account credentials with others.

Account Deletion

You may delete your account at any time from Profile โ†’ Settings โ†’ Delete Account. Upon deletion, your data will be permanently removed within 30 days as described in our Privacy Policy. Deletion of your account does not automatically cancel your Premium subscription โ€” please cancel it separately through your App Store or Play Store account settings before deleting your account.

4. Acceptable Use

You agree to use VehIQ only for lawful purposes and in a manner consistent with these Terms. You must not:

  • Use the Service for any unlawful purpose or in violation of any applicable local, national, or international law or regulation.
  • Attempt to gain unauthorised access to any part of the Service, our servers, or any database or system connected to the Service.
  • Reverse engineer, decompile, disassemble, or attempt to extract the source code of the app.
  • Use automated scripts, bots, or scrapers to access the Service.
  • Upload malicious code, viruses, or any software designed to damage, disrupt, or interfere with the Service.
  • Submit false, misleading, or fraudulent data โ€” the Service is designed for genuine personal vehicle tracking.
  • Attempt to circumvent the receipt scanning usage limits through repeated account creation or other means.
  • Use the Service to collect or harvest personal data about other users.
  • Impersonate any person or entity or misrepresent your affiliation with any person or entity.
  • Sublicense, sell, resell, transfer, assign, or commercially exploit the Service in any way not expressly authorised.

We reserve the right to suspend or terminate accounts that violate these terms, and to take legal action where appropriate.

5. Subscriptions & Billing

Premium Subscription

VehIQ offers an optional Premium subscription that unlocks additional features including unlimited vehicles, advanced analytics, increased receipt scan allowances, and data export. The Premium plan is available on monthly or annual billing cycles.

Billing & Payment

All Premium subscriptions are purchased and managed through the Apple App Store (iOS) or Google Play Store (Android). Billing is handled entirely by Apple or Google under their respective terms of service. Yuki Digital does not directly process or store your payment information.

  • Payment is charged to your App Store or Play Store account at confirmation of purchase.
  • Subscriptions automatically renew at the end of each billing period unless cancelled at least 24 hours before the renewal date.
  • Your account will be charged for renewal within 24 hours prior to the end of the current period.
  • Prices are displayed in your local currency at the time of purchase and may vary by region.

VehIQ Premium automatically renews unless auto-renew is turned off at least 24 hours before the end of the current period. Your Apple ID will be charged upon confirmation of purchase and at the start of each renewal period. You can manage or turn off auto-renewal in your Apple ID account settings at any time after purchase.

Cancellation

You may cancel your Premium subscription at any time through your App Store or Play Store account settings. Cancellation takes effect at the end of the current billing period โ€” you retain Premium access until then. Cancelling a subscription does not delete your account or data.

Refunds

All refund requests are handled by Apple or Google in accordance with their refund policies. Yuki Digital does not independently issue refunds for App Store or Play Store purchases. If you believe you are entitled to a refund, please contact Apple Support or Google Play Support directly.

Price Changes

We reserve the right to change subscription prices. We will give you at least 30 days' notice of any price change. Continued use of the Premium subscription after the price change takes effect constitutes your agreement to pay the new price.

6. Free Plan Limitations

The free tier of VehIQ is provided at no cost and includes generous core functionality. The following limitations apply to free accounts:

  • Vehicle limit: 1 vehicle. To add more vehicles you must upgrade to Premium or remove the existing vehicle.
  • Receipt scanning: 2 scans total (lifetime). Scans are counted upon submission regardless of whether the receipt is valid or successfully extracted. This is to prevent abuse of the AI processing system.

We reserve the right to adjust free plan limits with reasonable advance notice. Changes will not remove data you have already logged.

7. Your Content

Ownership

You retain full ownership of all data and content you input into VehIQ, including vehicle records, fuel logs, service records, expenses, documents, and any files you upload ("Your Content").

Licence to Us

By submitting Your Content to the Service, you grant Yuki Digital a limited, non-exclusive, royalty-free, worldwide licence to store, process, and display Your Content solely as necessary to provide the Service to you. This licence is terminated when you delete Your Content or your account.

Your Responsibility

You are solely responsible for Your Content. You represent and warrant that:

  • You own or have the right to submit the content.
  • Your Content does not infringe any third-party intellectual property rights.
  • Your Content does not contain any malicious code or harmful material.
  • Documents you upload belong to you (e.g., your own insurance certificate, your own vehicle registration).

Accuracy of Data

The maintenance health indicators, efficiency calculations, and cost reports generated by VehIQ are derived from the data you enter. The accuracy of these outputs depends entirely on the accuracy and completeness of your inputs. VehIQ does not independently verify any data you enter.

8. Intellectual Property

The VehIQ application, including its design, code, user interface, features, branding, logo, and all associated content created by Yuki Digital, is the exclusive intellectual property of Yuki Digital and is protected by copyright, trademark, and other applicable intellectual property laws.

We grant you a limited, personal, non-exclusive, non-transferable, revocable licence to use the app on your personal device(s) for personal, non-commercial purposes, subject to these Terms.

You may not:

  • Copy, reproduce, distribute, or create derivative works of the app or its content.
  • Use the VehIQ or Yuki Digital name, logo, or trademarks without our prior written permission.
  • Remove or alter any copyright, trademark, or other proprietary notices.

The Service may include open-source software components, which are governed by their respective licences. These licences do not affect your rights or obligations under these Terms.

9. Third-Party Services & Links

VehIQ integrates with third-party services (such as cloud infrastructure, AI processing, and payment platforms) to provide its functionality. These services are subject to their own terms of service and privacy policies, which we encourage you to review.

Yuki Digital is not responsible for the practices, content, or availability of third-party services. Your use of any third-party service is at your own risk.

The Service may contain links to third-party websites or services (for example, links to the App Store or Play Store). These links are provided for convenience only. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party websites.

In-App Purchases: All premium subscription purchases are made through Apple App Store or Google Play Store. By making a purchase, you also agree to Apple's or Google's terms and conditions for in-app purchases.

10. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied.

To the fullest extent permitted by applicable law, Yuki Digital expressly disclaims all warranties, whether express, implied, statutory, or otherwise, including but not limited to:

  • Implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
  • Any warranty that the Service will meet your requirements or be uninterrupted, timely, secure, or error-free.
  • Any warranty regarding the accuracy or reliability of any information obtained through the Service.

Not Professional Advice

VehIQ is a personal record-keeping tool. The maintenance health indicators, service intervals, and parts guide information are provided for general informational purposes only and are based on typical industry averages. They are not a substitute for professional mechanical advice. Always consult a qualified mechanic for specific vehicle maintenance decisions. Yuki Digital is not liable for any mechanical issues, vehicle damage, or safety incidents arising from reliance on the app's maintenance indicators.

AI Receipt Scanning Accuracy

The AI receipt scanning feature uses machine learning to extract data from images. Extracted data may not always be accurate or complete. You are responsible for reviewing and correcting any AI-extracted data before saving. Yuki Digital is not liable for errors in AI-extracted data or any consequences arising from relying on unverified extracted data.

Data Availability

We do not guarantee that the Service will always be available. We may experience downtime for maintenance, updates, or reasons beyond our control. We will make reasonable efforts to notify users of planned maintenance.

11. Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall Yuki Digital, its directors, employees, contractors, partners, or affiliates be liable for any:

  • Indirect, incidental, special, consequential, or punitive damages.
  • Loss of profits, revenue, data, goodwill, or business opportunities.
  • Damages arising from your use of or inability to use the Service.
  • Damages arising from any maintenance decision made in reliance on the app's health indicators.
  • Damages arising from loss of data, even if we have been advised of the possibility of such damages.

In jurisdictions where limitation of liability for consequential or incidental damages is not permitted, our liability is limited to the greatest extent allowed by law.

In all cases, our total cumulative liability to you for any claim arising out of or related to these Terms or the Service shall not exceed the greater of: (a) the amount you paid to us in the 12 months immediately preceding the event giving rise to the claim, or (b) USD $50.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for death or personal injury caused by negligence, or for fraud.

12. Indemnification

You agree to indemnify, defend, and hold harmless Yuki Digital and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use of the Service in violation of these Terms.
  • Your violation of any applicable law or regulation.
  • Your Content, including any claim that Your Content infringes any third-party rights.
  • Any dispute between you and a third party arising from your use of the Service.

13. Termination

Termination by You

You may stop using the Service at any time. You may delete your account from within the app (Profile โ†’ Settings โ†’ Delete Account). If you have an active Premium subscription, please cancel it separately through your App Store or Play Store account before deleting your account.

Termination by Us

We reserve the right to suspend or permanently terminate your access to the Service, with or without notice, if:

  • You breach these Terms or our Privacy Policy.
  • Your account is used in a manner that could cause harm to Yuki Digital, other users, or third parties.
  • We are required to do so by law or a court order.
  • We discontinue the Service (in which case we will provide reasonable advance notice).

Effect of Termination

Upon termination, your right to use the Service ceases immediately. Data deletion following account termination will occur as described in our Privacy Policy. Termination does not relieve you of obligations that by their nature should survive termination, including Sections 8 (Intellectual Property), 10 (Disclaimers), 11 (Limitation of Liability), 12 (Indemnification), and 14 (Governing Law).

14. Governing Law & Dispute Resolution

These Terms shall be governed by and construed in accordance with applicable law. For users in the European Union, mandatory consumer protection provisions of your country of residence apply and take precedence.

Dispute Resolution

We encourage you to contact us first to resolve any dispute informally. Most concerns can be resolved quickly by emailing vehiq@yukidigital.in.

If informal resolution is not possible, any dispute arising out of or related to these Terms shall be resolved through binding arbitration or in a court of competent jurisdiction, as permitted by applicable law. Nothing in these Terms prevents you from bringing a claim before a small claims court or from exercising statutory consumer rights.

EU/UK Users โ€” Online Dispute Resolution

If you are a consumer in the EU or UK, you may also use the European Commission's Online Dispute Resolution (ODR) platform: ec.europa.eu/consumers/odr

Class Action Waiver

To the extent permitted by applicable law, you waive your right to participate in a class action lawsuit or class-wide arbitration against Yuki Digital.

15. Changes to These Terms

We may update these Terms from time to time to reflect changes in our practices, legal requirements, or Service features. When we make material changes, we will:

  • Display a notice within the app informing you of the change, and
  • Update the "Effective Date" at the top of this page.

For significant changes (such as changes to subscription pricing or fundamental service changes), we will provide at least 30 days' notice before the change takes effect.

Your continued use of the Service after the effective date of the updated Terms constitutes your acceptance. If you do not agree to the updated Terms, you must stop using the Service and delete your account.
